    By booking or participating in a trip or any product or service related to the Place Travel Agency for Tourist Trips, you agree to these terms and conditions (“Terms”).

    Before booking, you must acknowledge that you have read, understood, and agree to be bound by these terms and conditions. When making a booking on behalf of others, you must acknowledge that you have the authority to agree to these terms and conditions and then agree to them on behalf of the person you represent.

    Booking contract

    Your booking is confirmed and a booking contract is established when the tour operator issues a written confirmation statement after receiving the required payments. Therefore, please ensure that your confirmation is accurate and report any errors, inaccuracies, or incorrect information to the tour operator or the responsible party as soon as possible. Please also ensure that the names are correct and match those registered in your passport. You must be at least 18 years old to make a reservation. Therefore, you must provide us with complete, accurate, and legally required information.

    Booking on behalf of others

    When booking on behalf of others, you will be considered the person responsible for communicating with each individual you are booking for. Therefore, this means you are responsible for all payments related to the trip, as well as informing the tour operator of any changes or cancellations, and ensuring that the person you are booking for is fully informed. When booking on behalf of another person or persons, you must have full authorization from your client to carry out all procedures. Therefore, you are responsible for verifying the information you provide on behalf of your client and ensuring its completeness and accuracy. The tour operator will not be held liable for any errors that may occur during the booking process under any circumstances.

    Required health information and data

    It is essential to provide certain medical information when booking some trips if you have any pre-existing health conditions that might affect your ability to travel, participate in the trip, or travel to remote areas lacking medical facilities, which could negatively impact your health or endanger others. Therefore, you must provide a copy of a medical form signed by a licensed physician and submit it to the tour operator before your trip or at the final booking confirmation for their approval.

    By completing the medical form honestly and truthfully, and disclosing all relevant medical information and data fully and clearly, you agree to the terms of service. This data will be handled by the tour operator in accordance with their privacy policy.

    The tour operator has the right to request further medical information, if required, for your safety and the safety of your companions on the trip.

    The tour operator has the right to cancel your travel request at any time at your own expense, if it is found that your physical and mental condition does not enable you to travel, or if it is found that you pose a danger to other travelers.

    Pregnancy is a medical condition that must be disclosed to the tour operator during booking. The tour operator may refuse travel to women who are more than 18 weeks pregnant. They may also refuse travel to anyone with a medical condition for which the accommodation cannot provide suitable conditions and special care.

    If the medical data is not completed or the information required by the tour organizer is not provided for any reason before the deadline mentioned above, the tour organizer has the right to cancel your booking and all cancellation fees will be paid by you.

    It is your responsibility to determine whether the trip is suitable for your condition. Therefore, you should consult your doctor to determine if you are fully fit to travel and participate in the planned trip and activities. Follow your doctor’s advice and recommendations. Keep in mind that the tour operator will not assume medical responsibility for your well-being. It is your responsibility to identify potential risks and plan accordingly.

    The trip may include visits to remote and isolated locations where appropriate medical services may not be available compared to those offered in your home country. Therefore, the tour operator will not be responsible for your health, as it is your sole responsibility to determine whether the trip is suitable for you.

    Special needs

    You must disclose your special needs to the tour operator during booking. The tour operator will make every effort to accommodate these needs and requirements, but this may not always be possible due to the varying nature of different destinations. It is also possible that some activities may not be available. Furthermore, you must inform the tour operator of your dietary requirements when booking; however, the tour operator cannot guarantee that these requirements will be met. These special needs are not part of the terms and conditions of the agreement between you and the tour operator, and the tour operator will not be held liable for any failure to fulfill these special needs or requests.

    Age requirements

    Individuals under 18 years of age at the time of booking are considered minors. These minors must be accompanied by an adult. An adult may accompany up to two people. The age of the minor must be disclosed at the time of booking unless otherwise requested by the tour operator.

    All bookings involving minors must be reviewed and approved by the tour operator. Parental, guardian, or other legally responsible person must be present to authorize the minor to travel. The guardian is responsible for providing all necessary consents and documentation, and ensuring that they and their dependents meet all legal requirements for travel. The tour operator will not be liable for any fees, damages, or losses incurred as a result of the failure to provide all required consents and authorizations.

    Each guardian is responsible for the conduct of the minors, supervising and monitoring them, and must agree to all terms and conditions on their behalf during the booking process. The tour operator will not provide any care for the minors and will not be responsible for their supervision or accompaniment.

    Mandatory insurance requirements

    You must have travel insurance with medical, educational, and repatriation coverage of at least US$200,000. This insurance must cover personal injury or emergency medical expenses from the first day of each trip. A representative of the tour operator will verify that you have adequate coverage. It is also recommended that you consider adding coverage for cancellations or other expenses resulting from loss, damage, or injury during the trip. You must acknowledge that insurance coverage is not included in the cost of the trip and that you must bring any additional costs with you at your own expense. It is your responsibility to provide your insurer with the type of travel, destination, and activities included in your booking so that the necessary coverage can be provided.

    Prices, additional expenses, and taxes

    The tour operator may change the price of the trip, services, or products at any time, before or after booking confirmation, up to 30 days prior to departure. After confirmation and invoicing by the tour operator, the operator reserves the right to add extra charges to the booked products and services for any reason resulting from increases in transportation costs, fuel costs, currency exchange rates, taxes, fees paid for services such as loading and unloading, and government-imposed tax increases. Once a price increase for services or products is confirmed, the tour operator will notify you as soon as possible.

    If the price increase is more than 10% of the original price of the products and services (excluding extras, insurance, and taxes), you can choose either:

    Cancel reserved services or products without incurring any consequences; or
    Accepting the price change.
    You can inform the tour operator of your decision within 14 days of receiving the notice of the price increase, otherwise you will be considered to have agreed to the price increase and you will be obligated to pay for it.

    Occasionally, tour operators offer discounts on certain products or services. These discounts are only available for new bookings and do not apply to bookings for which a deposit has already been paid.

    Validity

    Dates, itinerary, and prices for different trips may be changed at any time, and additional expenses may be added to the price that was approved when booking, which is considered a tax in accordance with those conditions.

    You must acknowledge that you are responsible for keeping up with changes in various details relating to your trip and other products and services, for example, by visiting the tour operator’s website at least 72 hours before departure, as there may have been some minor changes from before.

    deposit

    Upon booking, a non-refundable deposit is required per person per trip. If the booking is made 60 days or less before the trip’s departure date, the full cost must be paid at the time of booking. The non-refundable deposit must be sent to the tour operator or one of their authorized representatives, as per standard procedure.

    Secured Deposit Payments: In the event of cancellation due to non-payment or breach of any of these terms and conditions, the deposit will be held by the tour operator as a “secured deposit” subject to the terms and conditions. These secured deposits have no expiry date and remain valid until you book another tour with the same tour operator. Furthermore, these deposits are transferable and can be transferred to another person of your choosing by providing written notification to the tour operator.

    To ensure transparency, the deposit will only be considered part of the security deposit. The security deposit has no monetary value. Only one security deposit can be used per person per booking. Furthermore, the security deposit must be used for a new booking, the value of which must be equal to or greater than the canceled booking. Additionally, the security deposit cannot be used to book another flight on the same dates.

    Details required to complete the booking process

    Certain information requested by the tour operator is essential for completing the booking process and must be provided upon final payment. Failure to provide this information by the specified date will result in an administrative fee of up to $500 for any delays or damages incurred by the tour operator. If the tour operator fails to provide the requested information, they reserve the right to cancel your booking and charge you a cancellation fee, which they determine at their own risk. This information varies from tour to tour and must be provided to us or any of the tour operator’s agents during the booking process. The tour operator will not be held liable for any errors, inaccuracies, delays in providing this information, or failure to provide complete information as requested.

    Airfare price

    The tour price does not include international airfare or other airfares unless otherwise stated in the tour description. The tour operator will display the best available fares at the time of travel. These fares are approximate and non-restrictive and are not binding on the tour operator or airline.

    The air transport process is not subject to the tour operator’s terms and conditions but solely to those of the air carrier, which includes the purchase and use of the ticket. Therefore, you must request a copy of the applicable terms and conditions from the air carrier, particularly regarding required information, cancellations, and other relevant details. The tour operator is not responsible for any changes to the flight program or schedule and will not provide you with any information or notifications regarding your ticket, flight status, or any delays or postponements.

    Final payment process and booking acceptance

    The confirmation email sent by your tour operator or travel agent will contain the final payment details required to complete your booking. Payment for booked services and products is mandatory 60 days prior to the start date of use of the booked service or product. If full payment is not received within this timeframe, the tour operator may, at its sole discretion, adjust the payment terms or cancel the booking, retaining any deposit paid as a cancellation fee. If the booking is made 45 days prior to the start date of use of the booked service or product, all required payments must be made at the time of booking. Furthermore, any changes to the terms and conditions during the booking process for that service or product will be communicated to you and reflected in your invoice.

    The tour operator is not responsible for costs charged by other parties, third parties, or financial institutions that you must pay as a commission for using a credit card or other means, and those costs will not be refunded or reimbursed.

    Cancellation by customer

    You can cancel your booking after notifying the tour operator. Any cancellation fees will be calculated on the date the tour operator receives your cancellation notice and will be deducted from the total price paid for the canceled trip, product, or service (excluding any insurance products).

    Flight cancellation:

    1. If you cancel 60 days or more before the date of the trip or use of the booked product or service: the security deposit will be retained by the tour organizer, subject to terms and conditions, and the remaining payments made to the tour organizer as payment for the canceled service, product, or trip will be refunded.
    2. If you cancel 45 days or more before the date of the trip or use of the booked service or product: the security deposit will be retained by the tour organizer, subject to those terms, and 50% of the value of the payments made to the tour organizer as payment for the canceled service, product, or trip will be refunded.
    3. If you cancel 30 days or more before the date of the trip or use of the booked service or product: the security deposit will be retained by the tour organizer, subject to those terms, and no refund will be given to any payments made to the tour organizer as payment for the canceled service, product, or trip.

    Start the trip. Cancel the trip by the tour organizer.

    The tour operator guarantees that all scheduled tour departures confirmed by a valid deposit will proceed as specified in the applicable confirmation notice, subject to any changes to the tour itinerary as described in the terms and conditions. This guarantee is not valid in the event of force majeure. The tour operator will continuously provide the client with information regarding the tour itinerary on its website or through direct contact. Brochures or other printed materials displaying tour departure dates may not be considered authoritative and are subject to change.

    If the trip is cancelled by the tour operator before the trip’s departure date for reasons other than force majeure, and the cancellation is not related to the client, you have the right to choose one of the following options provided by the tour operator:

    1. An alternative trip of equal or greater value; or
    2.  An alternative flight at a lower price if no equivalent flight is available, in addition to the tour operator paying you the price difference; or
    3. Refund all amounts paid to the tour organizer.

    The tour operator is not liable for any unforeseen expenses or losses incurred due to cancellation of the booking, including non-refundable visas, flights, or rail travel. The tour operator reserves the right to issue a full refund order based on the option selected above. If any essential elements of the itinerary are unavailable after the trip has commenced, the tour operator will attempt to make alternative arrangements, if possible. If alternative arrangements cannot be made, or if you refuse any arrangements made by the tour operator, the tour operator will refund the amounts paid for the unavailable elements at its discretion.  

    travel documents

    You must provide all required information and documents for entry, departure, and travel to different countries and regions. These documents include a valid passport, as well as all other documents required by government authorities, including visas, permits, certificates (including but not limited to medical certificates), and insurance policies. Your passport must be valid for at least six months from the last day of your trip with the organizer, as recorded in the travel guide. You agree to be responsible for providing all documents, visas, and permits before the start of your trip and are fully liable for any damages resulting from negligence in this regard. You are responsible for any financial losses or expenses incurred as a direct result of failing to provide the required travel documents. The tour operator will not provide any advice or consultations regarding travel documents and makes no warranties regarding the accuracy or completeness of the information provided concerning visas, vaccinations, climate, clothing, luggage, or required personal items. You agree that the tour operator is not liable for any errors or inaccuracies in the information provided.

    Flexibility and underutilized services

    You must acknowledge that adventure travel requires flexibility and that the tour operator will provide suitable alternatives for products, services, and itineraries. Modifications to the route, schedules, accommodations, activities, and transportation may be made without notice due to unforeseen and necessary circumstances beyond the tour operator’s control (including, but not limited to, force majeure, illness, mechanical failures, flight cancellations, political events, or border difficulties). No refunds, discounts, or reimbursements will be issued for services that are ignored or not used after the trip has commenced, through no fault of the tour operator.

    Changes

    Changes made by the tour operator: The tour operator may modify the itinerary when deemed necessary, including changing hotels or their category without prior notice to the traveler. Changes to services or products will be communicated to you as soon as possible, allowing ample time for you to adjust before the trip’s departure. If changes to the tour services occur more than 14 days before the departure date, you may choose from the following options:

    1. Accepting changes in services and dealing with services and products as they have been changed,
    2. Book another service or product of the same or higher value, if available (you will pay the price difference); or
    3. Book another product or service of a lower value, if possible (with the tour operator refunding the price difference); or
    4. Cancellation of modified services or products and full refund of money paid for ground services only, and the cost is assessed by the tour organizer.
    5. The tour organizer has the right to cancel the booking or organize the tour if the user of our services commits any of the following violations:
     

    You must notify the tour organizer of your final decision within 7 days of receiving the change notification, otherwise you will be deemed to have accepted this change.

    (If one of the above services is changed less than 7 days before the trip date, no notification will be sent due to time constraints).

    After the trip has commenced, changes to the itinerary may occur unavoidably due to unforeseen circumstances, operational issues, health problems, safety concerns, or matters related to enjoyment and comfort. Any such changes are at the discretion of the tour operator. You must acknowledge that you are responsible for having sufficient funds available to cover any expenses incurred due to changes in the itinerary while traveling with the tour operator. Please note that the tour operator will not be held liable for any failure to adequately prepare for the trip or for any unforeseen challenges or problems that may arise during the journey. The tour operator will not be liable for any indirect losses resulting from changes to the booking or itinerary.

    When you make changes: You are responsible for ensuring that the information provided to the tour operator is accurate, complete, and up-to-date. Any changes to personal information in any booking are accepted and approved by the tour operator. Any changes must be made subject to availability, approval by the tour operator, and these terms and conditions. If any additional costs are incurred as a result of changes you make, you are responsible for covering those additional costs. Canceling a booked trip, product, or service is not considered a change to the itinerary but rather a cancellation, subject to the applicable cancellation terms outlined in the cancellation section. Changes to any booking are not permitted after 10 days from the start date of the booked product or service.
